1. Who we are

Icarus Insights LLC, a Wyoming limited liability company with its registered address at 30 N Gould St, STE R, Sheridan, WY 82801, United States, is responsible for the personal data described in this policy.

2. Two different roles

This policy covers two situations, and your rights differ between them:

  • When we decide how data is used (controller). This covers visitors to this website, people who contact us, and our own clients. This policy governs.
  • When we process data on behalf of a client (processor). When we operate a CRM, an automation or a website for a client, we handle the personal data of that client's own customers. We act only on that client's instructions, and their privacy policy governs. If you believe your data is held by one of our clients, contact that business directly — or write to us and we will forward your request.

3. What we collect

Information you give us

  • Contact details — name, email address, phone number, company name, and anything you write in a form, chat or booking request.
  • Account and billing information — the details needed to invoice you and keep your account current.
  • Content you provide — files, credentials, copy and data you share so we can deliver a project.

Information collected automatically

  • Navigational information — browser type and language, IP address, referring pages, pages viewed and time spent.
  • Cookies and similar technologies — see our Cookie Policy.

We do not knowingly collect special categories of data (health, biometrics, political opinions) and ask that you do not send them to us.

4. Mobile information

We do not sell, rent, or share mobile phone numbers or SMS consent with third parties or affiliates for their marketing or promotional purposes.

Mobile information is used only to communicate with you about your account, your projects, or services you requested. We may share it with service providers strictly to deliver those messages — for example our messaging platform or telecommunications carriers — and those providers may not use it for their own marketing.

6. Who we share it with

We share personal data only where necessary, and never sell it. Categories of recipients:

  • Payment processing — Stripe, for card payments and subscription billing.
  • CRM, messaging and automation platforms — the systems we use to communicate with you and run our operations.
  • Hosting and infrastructure providers — for the website, databases and file storage.
  • Analytics providers — including Google Analytics, subject to your cookie choices.
  • Advertising platforms — including Meta (Facebook and Instagram) and Google, via tracking pixels that measure campaign performance and may be used to show you relevant ads on those platforms. These load only if you accept advertising cookies.
  • Professional advisers — accountants and lawyers, under confidentiality.
  • Authorities — where required by law, or to establish or defend legal claims.

We do not sell personal information for money. However, when you accept advertising cookies, the tracking pixels described above disclose information about your visit to Meta and Google. Under California law this counts as “sharing” for cross-context behavioural advertising, and under EU and UK law it requires your consent.

You can refuse this at any time — reject advertising cookies in our cookie banner, or change your choice later through the cookie settings link. Rejecting them does not affect your access to the site or to our services.

7. International transfers

We operate from the United States and Ecuador, and our providers may process data in other countries. Where we transfer personal data out of the European Economic Area or the United Kingdom, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses. You can request a copy of the safeguards in place.

8. How long we keep it

  • Enquiries that do not become projects — up to 24 months, then deleted.
  • Client account and project data — for the life of the relationship, then up to 6 months, unless you ask us to delete it sooner.
  • Invoices and accounting records — as long as tax and company law require.
  • Marketing consent records — while consent stands, plus the period needed to prove it was given.

9. Your rights

Depending on where you live, you may have the right to:

  • Access the personal data we hold about you, and receive a copy.
  • Have inaccurate data corrected.
  • Have your data deleted.
  • Restrict or object to how we use it, including profiling.
  • Receive your data in a portable format.
  • Withdraw consent at any time, without affecting processing already carried out.
  • Complain to your data protection authority.

To exercise any of these, email privacy@icarus-insights.com. We respond within thirty (30) days. We may ask you to confirm your identity first. Exercising your rights never costs you anything and we will not treat you differently for doing so.

California residents

Under the CCPA as amended by the CPRA, you have the rights to know, delete, correct, and to opt out of the sale or sharing of personal information.

We do not sell personal information for money. We do share it — as that term is defined for cross-context behavioural advertising — when you accept advertising cookies, because the Meta and Google pixels then disclose information about your visit to those platforms.

To opt out, reject advertising cookies in our cookie banner, or use the cookie settings link available on every page. That is our “Do Not Sell or Share My Personal Information” mechanism. You may also email privacy@icarus-insights.com, and you may designate an authorised agent to make a request for you. We do not discriminate against anyone who exercises these rights.

10. Security

We use access controls, encryption in transit, multi-factor authentication on administrative systems, and least-privilege access for our team. No system is perfectly secure, but if a breach affects your personal data we will notify you and the relevant authority as the law requires.

11. Children

Our services are for businesses and are not directed to children under 16. We do not knowingly collect their data. If you believe a child has provided us information, write to us and we will delete it.

12. Changes to this policy

We may update this policy. The “last updated” date reflects the current version, and we will give notice by email before material changes affecting existing clients take effect.
